Annual Leaves Policy

CareMedox believes in transparency, trust, and fairness. This policy outlines annual leaves eligibility criteria, approval processes, and usage rules to ensure clarity for both employees and management. Annual leave not explicitly mentioned under a separate policy will be governed by this document.

Annual Leave Policy

CareMedox provides employees with a total of 25 annual leaves per year. These leaves are offered to support work-life balance while ensuring operational continuity.

Annual leaves are accrued at the rate of 2 leaves per month starting from the date of employment. Unused leaves are accumulated and may be utilized together in later months based on availability and approval.

Example: If no leaves are taken during the first three months, the employee will have 8 accumulated leaves in the fourth month, which may be used together or separately.

Informing & Approval Criteria

  1. Emergency Leaves:

    Employees may take up to one emergency leave without prior notice. The employee must inform HR and their immediate supervisor as soon as possible.

    No supporting documentation is required for the first emergency leave. If a second or third consecutive emergency leave is required, the employee must explain the situation and coordinate workload management with CareMedox.

  2. Planned / Non-Emergency Leaves:

    Planned leaves must be informed at least 3 days in advance (4–5 days recommended). Employees are not required to disclose personal reasons for planned leaves.

    A maximum of 3 planned leaves may be taken consecutively. Requests for more than 3 consecutive leaves must be submitted 1–2 weeks in advance and require supervisor approval for workload management.

    For events such as weddings, major celebrations, illness care, or unlisted religious matters, relevant details or documents must be submitted at least 2.5 weeks in advance.

  3. Leave Utilization:

    Leaves may be scheduled on any working day (Monday to Friday). Half-day leaves are allowed but must be informed before the shift starts. CareMedox discourages half-day leaves due to productivity impact.

  4. Non-Approval Conditions:

    Leaves will not be approved if taken without informing for more than 3 consecutive days (except the first day), if planned leave exceeds allowed limits without approval, or if the employee exceeds their available leave balance.

All leave types not covered under other policies will be deducted from annual leave.

Religious Leaves Policy

Religious Leave Policy

CareMedox provides religious leaves for pre-listed religious occasions such as Eid and Christmas. The official list is shared separately.

If an employee’s religious leave is not listed, it must be declared and approved before joining and documented in the employment contract.

Unlisted religious leaves are not permitted unless taken as annual leave following standard scheduling procedures.

  1. Consecutive Leaves:

    Employees may take up to 1.5 annual leaves in combination with a religious holiday. Additional leaves require documentation and special approval.

  2. Weekend & Holiday Overlap:

    If a religious leave falls on a weekend or an official holiday, it will be considered utilized and cannot be rescheduled.

CareMedox does not apply a sandwich rule for religious leaves. Only the actual leave days taken will be deducted, provided informing criteria are met.

US-Based Holidays Policy

CareMedox believes in transparency, trust, and fairness. This policy outlines US-based holidays eligibility criteria, approval processes, and usage rules to ensure clarity for both employees and management. Any holiday not explicitly mentioned under a separate policy will be governed by this document.

US-Based Holiday Policy

CareMedox observes officially listed US-based holidays. The office remains closed on these days as per the published holiday calendar.

Employees may take one additional annual leave adjacent to a holiday. For more than one additional leave, prior approval is required at least 4–5 days before the holiday.

Emergency leave requests around holidays must follow the emergency leave criteria defined in the Annual Leave Policy.

CareMedox does not apply a sandwich rule. If a holiday falls on a Thursday and an employee takes Friday off, only Friday will be deducted from annual leave.

Additional Leaves Policy

CareMedox believes in transparency, trust, and fairness. This policy outlines additional leaves eligibility criteria, approval processes, and usage rules to ensure clarity for both employees and management. Additional leave not explicitly mentioned under a separate policy will be governed by this document.

Additional Leave Policy

CareMedox provides complimentary additional leaves as a gesture of appreciation to employees.

  1. Paid Additional Leaves:

    Employees are entitled to one Birthday Leave and one Anniversary Leave.

    If these leaves fall on weekends or official holidays, they will be considered utilized and cannot be rescheduled or carried forward.

  2. Unpaid Leaves:

    Employees may avail up to 10 unpaid leaves per year after exhausting annual leave entitlement.

    Unpaid leave eligibility begins from the third month of employment. A maximum of one unpaid leave per month is allowed, with a monthly cap of three leaves even if accumulated.

    Unpaid leaves result in performance score deductions and salary deduction at half-day rate (e.g., if daily salary is 2000, deduction will be 1000).

    Emergency unpaid leaves require valid justification and supporting documents. All annual leave rules apply unless stated otherwise.
