3. Website and Services Scope
The website provides general information about CareMedox services and allows visitors to contact us, request a consultation, submit business inquiries, learn about services, and request information about referral or career opportunities.
CareMedox may provide services including, but not limited to:
- Medical billing and revenue cycle management;
- Charge entry, claim submission, clearinghouse rejection support, and corrected claim workflows;
- Denial management, AR follow-up, aging AR cleanup, and insurance follow-up;

Service availability, scope, deliverables, timelines, access requirements, fees, responsibilities, and limitations are determined by the applicable written service agreement, business associate agreement, statement of work, proposal, or other signed document between CareMedox and the client.
4. No Medical, Legal, Coding, Compliance, or Financial Advice
Content on this website is for general informational and business discussion purposes only. It is not medical advice, legal advice, tax advice, financial advice, final coding advice, or a substitute for professional judgment by a licensed provider, certified coder, compliance officer, attorney, accountant, or other qualified professional.
CareMedox does not diagnose, treat, or provide medical services to patients. CareMedox does not create a provider-patient relationship with any visitor, patient, provider, or healthcare organization by providing website content, general billing information, or administrative support.

5. Client Agreements, Business Associate Agreements, and Service Orders
When CareMedox provides services involving protected health information ("PHI") on behalf of a covered entity or another regulated healthcare organization, the relationship may require a Business Associate Agreement ("BAA") or other written agreement before CareMedox receives, creates, maintains, or transmits PHI.
A signed client agreement, BAA, statement of work, referral agreement, or service order may include additional terms related to access, confidentiality, security, payment, scope, service levels, liability, data handling, record retention, termination, and dispute resolution. If there is a conflict between these website Terms and a signed agreement, the signed agreement should control for that client relationship.
6. Website Forms, Chat, and Protected Health Information
CareMedox website forms and chat features are intended to collect business inquiry information, such as name, practice name, role, email, phone number, state, specialty, preferred contact time, and a general description of the practice’s billing issue.
Do not submit patient PHI through public website forms, chat, email fields, or other non-secure public website features. Examples of information you should not submit through public website forms include patient names, dates of birth, medical record numbers, insurance member IDs, diagnosis details tied to a patient, claim numbers tied to a patient, or other patient-specific information.
If PHI is inadvertently submitted through a public website feature, CareMedox may delete, restrict, redirect, or handle the information according to applicable law, internal security procedures, and any applicable agreement.
7. Client and Visitor Responsibilities
Clients, prospective clients, referral partners, applicants, and visitors are responsible for providing accurate, complete, lawful, and authorized information. If you submit information on behalf of a practice, provider, company, or other person, you represent that you have the authority to do so.
Clients remain responsible for clinical documentation, provider decisions, medical necessity, patient care, payer contract obligations, final coding decisions, compliance decisions, and internal business approvals unless a signed agreement states otherwise.
Clients must provide timely access, documents, payer information, system permissions, responses, and approvals required for CareMedox to perform agreed services. Delays, inaccurate information, missing documents, payer restrictions, system outages, or lack of client response may affect service timelines and results.
8. Pricing, Offers, Consultations, and Payments
Any pricing, offer, free consultation, free billing review, audit invitation, trial offer, referral reward, or service package displayed on the website is subject to review, eligibility, service scope, and written confirmation by CareMedox. Website offers may change, expire, or be withdrawn at any time.
CareMedox may offer percentage-based pricing, consultation-based pricing, service-specific pricing, or other custom pricing depending on client scope and service needs. Final pricing and payment terms must be confirmed in a written agreement, proposal, invoice, or service order.
Free consultations, free basic billing reviews, trial discussions, or audit consultations do not create a client relationship unless CareMedox and the prospective client sign the required agreement and, where applicable, a BAA.
9. Referral Program Terms
CareMedox may offer a referral program for individuals or organizations that refer healthcare providers, practices, clinics, or related business opportunities to CareMedox. Referral rewards, percentages, bonuses, eligibility, payment timing, and restrictions are subject to a written referral agreement.
Referral rewards are generally payable only after the referred client becomes a paying client and CareMedox receives the client’s first payment, unless a written referral agreement states otherwise. Free consultations, free audits, startup discussions, unpaid leads, or non-converted referrals do not qualify for payment.
Fraud, abuse, false information, unauthorized use of names, misleading claims, self-referrals not approved by CareMedox, spam, unlawful marketing, or conduct that violates applicable healthcare, privacy, anti-kickback, or business laws may disqualify a referral and may result in termination of referral participation.
10. Security, HIPAA, and Confidentiality
CareMedox is committed to supporting HIPAA-conscious workflows, BAA-supported client relationships, staff training, confidentiality, access control, encrypted transfers where appropriate, password-protected archives when needed, and secure handling procedures for billing-related information.
No internet transmission, website form, email, storage system, or security process can be guaranteed to be completely secure. Visitors and clients are responsible for using approved secure channels for sensitive information and following agreed security instructions.
Confidential information received by CareMedox in connection with a client relationship will be handled according to the applicable written agreement, BAA, internal policies, and applicable law.
11. Third-Party Systems, Payers, Clearinghouses, and Links
CareMedox may support or interact with third-party software, EHR/PMS systems, clearinghouses, payer portals, government payer systems, credentialing platforms, communication tools, analytics tools, hosting providers, and other service providers as permitted by the client and applicable agreement.
CareMedox does not control third-party systems, payer rules, payer processing times, payer decisions, portal outages, clearinghouse delays, software errors, credentialing timelines, or policy changes by insurers, government programs, or regulators.
This website may contain links to third-party websites or resources. CareMedox is not responsible for third-party content, security, privacy practices, terms, or availability.
12. No Guarantees of Payment, Approval, or Specific Results
CareMedox works to support stronger billing workflows, claim follow-up, denial review, credentialing processes, reporting, and revenue cycle performance. However, CareMedox does not guarantee payer approval, claim payment, denial reversal, credentialing approval, payer enrollment approval, specific reimbursement amounts, a specific collection increase, a specific denial reduction, or any other guaranteed financial outcome.
Results may depend on payer rules, provider documentation, coding decisions, payer contracts, patient eligibility, authorization status, timely filing requirements, system access, client cooperation, claim history, payer response, and other factors outside CareMedox’s control.
13. Website Content and Intellectual Property
All website content, including text, graphics, logos, service descriptions, page layouts, design elements, icons, images, downloadable materials, forms, and other materials are owned by CareMedox or used with permission, unless otherwise stated.
You may view and print website content for personal or internal business review only. You may not copy, reproduce, sell, modify, distribute, scrape, republish, or create derivative works from CareMedox website content without written permission.
14. Prohibited Uses
You agree not to use this website or CareMedox communication channels to:
- Submit false, misleading, unauthorized, fraudulent, or unlawful information;
